Quality control

How preloading quality control and coordinated arrival inspection work

By the export team, Konza Tropicals Limited

Pulp temperature check on Hass avocados before loading

Once a container closes, nobody sees the fruit for weeks. Preloading quality control records its condition at origin so that buyer and supplier work from the same facts, and coordinated arrival inspection closes the loop. This guide explains how both work at Konza Tropicals.

Who inspects

Fruit Quality Studio Africa is our appointed independent quality control partner for preloading inspections at origin. Fruit Quality Studio Africa is an independent inspection company; its inspectors work separately from our packing and sales teams, and the report is evidence rather than opinion.

What happens before loading

  • Our own team tests dry matter before harvest and checks pulp temperature before loading.
  • The inspector attends the packhouse or loading point, draws representative samples from several pallets and layers, and records maturity, firmness, temperature, size, weight, external and internal condition, packaging, labelling, pallets, container settings, loading and seal.
  • A photographic report is released and shared with the buyer before departure, together with the shipping documents.

What the buyer receives

The preloading quality control report for the shipment, the data logger file where fitted, and the documents listed in the contract. For avocado oil and processed products the lot ships with its certificate of analysis or quality documentation. Konza Tropicals provides an internal certificate of analysis for each avocado oil lot. External laboratory testing or buyer testing can also be arranged according to agreed requirements.

Arrival inspection

Arrival inspection is coordinated between Konza Tropicals and the buyer. Depending on the contract, the buyer's own quality team inspects on arrival, or an independent survey is arranged where either side requests it. Findings are compared with the preloading report so that origin questions can be separated from transit questions.

How findings are used

Arrival findings feed back into harvest, packing and loading decisions for the next shipment. Claims are handled against the quality tolerances written in the contract, with the preloading report and the arrival record as the shared evidence.

Why it matters

  • Fewer disputes and faster settlement when something goes wrong.
  • Confidence for buyers who cannot be at origin.
  • A record that insurers and trade financiers can rely on.
  • Continuous improvement in the fruit itself.
